JOMO Pride Inc Pride Planning & Board Meeting Minutes
Thur. July 8th , 2021 @ 6pm

Call to Order
Roll Call – Approve Quorum
Board Members - Ron, Johnny, Shana, Lydia, Ashley, Preston, Larry
Others in attendance - Kim, Patricia, Tania, Remi, Kennedy (Jasco CASA)

Guest Speaker - Kennedy Jasco CASA - Local branch of a national nonprofit that serves children in foster care. Organization is seeing a rise in children on the LGBTQ+ spectrum. They are hoping to increase volunteer base to help care for the overflow of kids in the foster care system, especially within the LGBTQ community.. National organization that started off in the 90’s. Must be 21, pass a background check and have a High School diploma or equivalency. Volunteers need to go through a 30 hour training. When a volunteer is assigned to a child they usually perform 8-12 hours of volunteer time by meeting with kids in their foster homes, schools, daycares, games etc and will write reports to the judge letting the courts know whats going on and what recommendations the CASAs have. Local casa serves 150 out of 450 kids in the foster care system in Jasper County, they are hoping to be able to reach more kids. Board offers booth space on day 2 August 29th to help them reach more people. Will touch back.

Entertainment Director - preliminary updated Pride performer list, Stephan Storm gave Shayna a contact list of additional performances.

Marketing - Getting with Hailey to go over specks for shirts. Needs access to email and files.

2. Unfinished Business
A. Pageant - June 26th
  • King Crown - Misty has, Shayna to get in her possession asap
  • Titleholder photoshoot - Cecil Cornish - waiting on crown and dress (dress is about 2 weeks out)
  • Recap - event made 1200 after 900 in entertainer/titleholder fees
  • Waiting on professional photos of pageant, EmJO dealing with family emergency

B. Drag Show Fundraiser - July 24th - All Ages 7pm - Blackthorn
  • Double crowning ceremony - Titleholders keep their tips from their crowning number during the fundraiser - MOTION by Ron, Approved by unanimous consent
  • Discussion about doing the crowning ceremony and numbers at the beginning of the event - Board & titleholders agree
  • Booking fees: 100 for titleholders, $75 per additional entertainer, tips to JOMO Pride
  • Hosts - Stephan Storm & Tania Carrington - PASSES with no objections
  • Performers - Tania Carrington, Remi Storm, Stephan Storm. Stephan & Shayna reach out to: Misty, Anne Howe, Jacki Knoph, Stephan to reach out to two others, list passes with no objections.
  • Chase Carlisle is unavailable to DJ show - Josh Shackles put us on his calendar, Mel to meet with Josh to make sure he knows her system.
  • MOTION - $50 fb ad for July 24th fundraiser to run until the day of event - motion passes no objections
  • Silent Auction items needed - artwork, gift cards - Patricia Swanson offers to donate - Ron to contact,Tania will get with Ruby to see if we can get some jewelery donated.
  • Volunteers needed: 2 Door, 2 Silent Auction (3 for checkout), 1 general volunteer, 1 entertainment/backstage assistant (Lydia)
  • Will need to check with Mel to see if we can use the other back room as a dressing room as well (office/storage room?), Tania concerned with space in back room dressing room for 6-7 entertainers.

C. PrideFest Aug 28th - 29th
  • Logistics for Day 2 check in/setup/breakdown need to be worked out
  • Meeting with City for stage/logistics pending
  • Working on event insurance application to Provide to city and jcvb - discuss with Probert outside sitting area for blackthorn where alcohol consumption is allowed, but not sold outside -
  • Marketing/promotional materials needed: Mainstage banner (artwork provided by Bodegas in email), Jomo Pride March banner, hand fans, sandwich board itinerary/sponsor posters (2 of each), PrideFest flyer, event shirts (make sure all sponsors logos are in logo folder in google)
  • New set of walkie talkies - Shayna recommends Tractor Supply
  • Porto potties - sanitizing stations - Ron to reach out to solidify and coordinate logistics
  • Green Room for headliners/Drag Dressing area - Mel said it was okay to use the back of Blackthorn, JACC said it is okay to also use the back room of JACC
  • On-street dressing trailer- Shayna has rented the trailer and will arrange for pick-up but will also go see the unit to place a deposit. All performers may use the unit for changing, but only headliners may leave their belongings in the unit - Board offered to reimburse if receipts are submitted
  • "Ancy" Level 2 vests - For traffic/March guards & security personnel
  • Flags & Flag poles (Progress) need ordered - recount light poles
  • Glow Sticks and glow necklaces for Glow Party
  • Stage decor - rainbow balloons across front - Shayna recommends using the columns for the stage roof to put rainbow balloons instead of the front in case performers jump down (highly likely) - board agrees
  • MOTION - additional $50 to fb event page add (no extra run days added) - passes no objections
  • Fb event page ad needs checked and targeting possibly reworked - event page moving slow, more interested than going, add Joplin into target demographics as well as other cities outside of a 70mi radius to boost performance - Ron to get with Loni
  • Motion sustained in board chat for Londenn D Raine - Miss Gay United States at Large - $250 + hotel
  • Shayna Preliminary performer list: Natalia Masters, Kris Kohl, Pattaya, KC , Beverly Hills Mornett, Iman Scott, Tania, Remi, Autumn to host 3 daytime mainstage shows, adding more to list and bringing to board
  • Shayna mentions Misty & Victoria are under assumption the Pm shows are their shows and not under Pride control. Night time shows are still pride events. PM shows at blackthorn & whisky dicks was voted as a pride event while they were on board. Shayna to talk to Misty & Victoria before anything else can be decided on those shows to get them on same page.
  • Tania asks is remi and Tania are performing for the PM shows, Shayna says she will have to get with Misty & Victoria.
  • Whisky Dicks show (One number a piece is required for Pattaya, Mr Gay America, KC Sunshine per agreements)
  • Stephan - gave added entertainer list to board. Mentions more male presenting and non binary performers needed, more local entertainers. Board suggests rework of preliminary pride performer list. Shayna agrees to rework and resubmit after suggestions given.

D. Grant 2022-
  • Presentation July 27th City Hall
  • Get on community calendars in grant for 2022 - Ron to assist
  • Grant 2021 - get receipts from ad payments to get reimbursed.

E. Marketing -
  • PrideFest Flyer (to be approved by visitors bureau, provided to Probert insurance)
  • Event shirts ASAP (logo on front, sponsors on back) Custom Ink - start around end of July - run through mid august, or start in mid july run til 1st week of august then run again until last week of august
  • Stage banner - Bodegas - finished sitting in vistaprint
  • March/event banner w/sponsor logos
  • (2) 2ft by 3ft a frame signs - logos on one side, itinerary on other, 2 of each
  • Promotional hand fans - 24hourwristbands
  • Teespring merch revamp -

F. Treasurer -
  • File change of address with IRS, get new non profit letter with new address if needed
  • Hire CPA - make post

G. National Anthem singer - John to submit

H. Board positions review,
  • Board duties/bylaws/code of conduct review & reorganize - after Pride
  • Annual meeting in November to be scheduled

I. White Party event & fundraiser - Tania Carrington - Board thinks a big event less than 2 weeks after PrideFest might be too much - October a possibility or end of September. To discuss at next meeting. Drag show + horderves, ticket sales online, offer limited vip tables up front. Board likes the idea of added event after Pride sometime. This will act as a fundraiser as well.
J. Web Payment to Patrick Haase invoice received for $450 over last 3 months. Motion to pay Patrick passes with no objections.
